Delivery automation for a Saint Petersburg confectionery giant
A leading Saint Petersburg confectionery manufacturer with 40+ brick-and-mortar stores. Its delivery service was swamped at 200 orders a day. Every month, an accountant spent two weeks compiling reports for 40 counterparties by hand. There was no single system for managing orders, logistics, and interaction with the factory.
We set up RetailCRM and integrated it with the website and the loyalty program. The result: instead of 200 orders a day, the team now processes up to 700 — 3.5 times as many, without adding staff.
We developed a Telegram bot for couriers: as soon as an order is assigned in the CRM, the courier receives a message with a map, the address, the delivery time, and the order contents. We built a notification system for pickup points: 40+ stores automatically receive alerts about pre-orders.
All orders from the CRM are sent to the factory automatically through electronic data interchange (EDI) — the same mechanism used by the Russian retail chains Pyaterochka and Lenta. Accompanying documents and order forms between the legal entities are generated along the way. Confirmation from the factory’s booking system (Global) comes back automatically.
We wrote a middleware layer that connects the EDI provider, RetailCRM, and MoySklad (a Russian inventory management system) and syncs data between them. All returns and data exchange run automatically.
Reports for 40+ counterparties are generated at the push of a button: mutual offsets, shipments, deadlines — everything needed for accounting. Counterparties receive the reports by email automatically. Courier pay is calculated the same way: all trips, completed orders, and pay formulas. That alone freed up two weeks of an employee’s time every month.
